Job Title: Administrative Assistant – Tax Accounting Department
Type: Contract 3-4 months 
Hours: Part time 25-30 hours per week 
One site 3 days a week 
 

Job Summary:
We are seeking a detail-oriented and organized Administrative Assistant to support our Tax Accounting Department. This role will focus on administrative tasks, including managing tax files, supporting the department's workflow, and providing essential client communications. The ideal candidate will be proficient in Lacerte Tax and UltraTax software, and comfortable handling cloud-based file management systems. This position is pivotal in ensuring smooth operations for remote users and the efficient processing of tax returns.

Key Responsibilities:

  • Organize and manage tax files in Cloud Right Works to facilitate access for remote users working on tax returns.
  • Scan and upload client tax documents into designated folders on the file explorer.
  • Assist with assembling tax returns and preparing them for client delivery.
  • Send tax files and documents to clients via Lacerte Tax software.
  • Monitor and maintain the accuracy of digital and physical file organization systems.
  • Compose and send professional emails to clients regarding tax return status or document requests.
  • Input tax information into Lacerte and UltraTax software as needed.
  • Provide administrative support to ensure timely filing and completion of tax returns.
  • Maintain confidentiality and security of client information.

Qualifications:

  • Bachelors Degree in Accounting, Finance or business preferred
  • Two plus years experience with administrative duties. 
  • Proficiency in Lacerte Tax and UltraTax software is required.
  • Familiarity with cloud-based file management systems, such as Cloud Right Works.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • High attention to detail and accuracy in file management and document handling.
  • Proficient with Microsoft Office Suite (Word, Excel, Outlook).
  • Previous experience in an accounting or tax preparation environment is a plus.
