Marketing Fulfillment Coordinator – Investment Management – Boston, MA

We are seeking candidates for a Marketing Fulfillment Coordinator position with a top-tier Investment Management firm located in Boston, MA. The Marketing Fulfilment Coordinator will support the overall fulfillment operations by managing relationships with key vendors, ensuring efficient delivery of printed materials, promotional items, event hardware, and other marketing resources. Collaborate with the Production Project Manager to oversee programs that support sales and marketing initiatives. The ideal candidate will have 2+ years of experience in coordinating marketing programs including marketing fulfillment or project management experience. 

This is a 6+ month contract that will pay $30-34/hr (depending on experience) within a 40-hour work week. This position is required to be onsite 3 days per week in their Boston office. 

Responsibilities:

  • Oversee the company’s literature fulfillment function, including various marketing support programs.

  • Manage daily operations with the fulfillment vendor, including item setup, order monitoring, inventory tracking, responding to inquiries, and reviewing reports to ensure timely and compliant material delivery.

  • Provide guidance to marketing teams and internal business partners to ensure successful project and campaign execution with accurate item information.

  • Monitor service levels and address issues promptly, working closely with vendors and other carriers to ensure timely deliveries.

  • Organize and maintain the external vendor portal, ensuring all item information is accurate, categorized, and comprehensive.

  • Collaborate with publishing and digital teams to develop workflows and taxonomy for content management.

  • Ensure timely delivery of regulatory materials, such as prospectuses and shareholder reports, to meet compliance requirements.

  • Manage specific marketing programs, including holiday cards, stationery products, handwriting services, and the company store.

  • Coordinate the event hardware program, handling banners, booths, and signage in collaboration with internal teams and external vendors.

  • Provide support for print production, understanding the full process, including vendor management, SLAs, digital and commercial printing.

Qualifications:

  • Bachelor’s degree or related experience

  • 2+ years of marketing  or project management experience in financial services preferably 

  • Familiarity with content management systems (e.g., AEM) is a plus.

  • Strong organizational and attention to detail

  • Excellent problem-solving abilities and decision-making under pressure.

  • Strong written and verbal communication skills.

  • Ability to work independently and manage multiple priorities effectively.
