Litigation Administrative Assistant – Legal – Boston, MA
We are seeking a Litigation Administrative Assistant to join a distinguished law firm located in Boston, MA. The ideal candidate will bring significant litigation experience, in-depth knowledge of court procedures, and a proven ability to provide seamless support to a litigation partner. This position requires exceptional organizational skills, multitasking abilities, and the capacity to maintain professional communication with both internal teams and external parties.
Position Details:
- Type: Permanent
- Location: Onsite, Boston office (5 days per week)
- Compensation: Base salary of $105,000 (commensurate with experience)
Key Responsibilities:
- Perform administrative tasks, including organizing litigation binders, managing phone coverage, processing mail, and tracking case deadlines.
- Maintain attorneys' schedules by updating appearances and appointments based on received mail and other communications.
- Manage case files (physical and electronic) and ensure accurate document organization.
- Prepare, proofread, and file legal documents (e.g., pleadings, motions, and discovery requests) in compliance with court rules.
- Conduct research using tools like Westlaw, PACER, and state court dockets.
- Coordinate with courts, litigation vendors, and clients, ensuring efficient preparation for trials, hearings, and depositions.
- Communicate with clients, witnesses, and external parties, providing updates and gathering necessary information.
- Assemble and organize materials, exhibits, and documents for court appearances and meetings.
Required Qualifications:
- Bachelor’s degree (or Associate’s degree with 10+ years of relevant litigation experience).
- Extensive knowledge of Massachusetts Courts, including experience preparing Rule 9A motion packages for Massachusetts Superior Courts.
- Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint), Westlaw, PACER, Adobe Acrobat, Visio, and document comparison software.
- Notary Public certification is preferred.
- Strong organizational skills with attention to detail and time management.
- Excellent interpersonal, verbal, and written communication skills.
- Professional demeanor with the ability to interact courteously and diplomatically.
- Proven ability to manage multiple tasks in a fast-paced environment.
- Ability to efficiently follow written and verbal instructions.
