Litigation Administrative Assistant- Legal- Boston, MA
We are seeking candidates for a Litigation Administrative Assistant position to join a prestigious law firm located in Boston, MA. The ideal candidate will have extensive litigation experience, including familiarity with court procedures, and the ability to efficiently support a litigation partner. This role requires a highly organized individual capable of managing multiple tasks simultaneously while maintaining clear and professional communication both internally and externally.
This is a permanent position that will pay a base salary of $105k (depending on experience). This position is required to be onsite 5 days per week in their Boston office.
Responsibilities:

Perform general administrative tasks, including organizing litigation binders, managing phone coverage, processing mail, and tracking case deadlines on the office calendar.

Manage attorneys’ calendars, scheduling appointments, and updating appearances from received mail.

Maintain case files, both physical and electronic, ensuring proper filing and document management.

Handle incoming and outgoing mail, filing and scanning documents to the office management system.

Prepare and proofread legal documents (e.g., pleadings, motions, discovery requests) to ensure compliance with court rules and proper filing.

Create, organize, and maintain client files efficiently.

Utilize research tools like Westlaw, PACER, and state court dockets for case support.

Liaise with courts and litigation vendors, assisting attorneys in trial and hearing preparations by organizing and summarizing key documents.

Communicate with clients, witnesses, and relevant parties to gather information and address inquiries.

Prepare and assemble materials, documents, and exhibits for court appearances, depositions, and meetings.

Screen and respond to telephone calls regarding case status and attorney schedules.
Qualifications:

Bachelor’s degree required, or an Associate’s degree with 10+ years of litigation experience

Must have experience working with Massachusetts Courts, including preparing Rule 9A motion packages for filing in the Massachusetts Superior Courts.

Proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint), Westlaw, PACER, Adobe Acrobat, Visio, and document comparison software.

Notary Public certification is preferred.

Exceptional organizational skills with strong attention to detail and time management.

Ability to manage multiple projects simultaneously in a fast-paced environment.

Demonstrates professionalism with courtesy and diplomacy in all interactions.
