Travel Coordinator

We are currently seeking candidates for a Travel Coordinator at an investment firm located in Downtown, Boston, MA, 02111. The ideal candidate will have 1+ years (including internship) of administrative experience in fast paced administrative support role

This is a temporary role (est. 4+ months) with an opportunity to become permanent) and will pay up to $25.00 per hour (based on relative work experience) within a 40-hour work week.

Candidate must be very professional and able to manage time extremely well and meet numerous deadlines each day.
 

Responsibilities:

  • Responsible for coordinating ground transportation for company

  • This includes scheduling travel routes, identifying clients’ needs and preferences and managing conflicting priorities

  • Maintain accurate records to monitor vehicle maintenance schedules, insurance payments and other services needed for corporate vehicles

  • Track unscheduled services and overtime hours

  • Track and schedule maintenance and membership programs for corporate vehicles

  • Insurance payments

  • Registration

  • Maintain vehicle membership (e.g., EZpass, AAA)

  • Accident reports

  • Rental cars

  • Act as the liaison for large meetings

Qualifications:

  • Bachelor’s degree

  • Minimum of 1 year (including internship) of administrative experience in fast paced administrative support role

  • Ability to manage multiple priorities

  • Provide the highest level of service

  • Proficient Microsoft Office skills (Word, Excel and Outlook)

  • Strong phone skills

  • Ability to multi-task and manage projects

  • Strong written and verbal communication

  • Strong client service orientation
