Administrative Assistant- Investment Management – Boston, MA
We are seeking candidates for an Administrative Assistant position with a highly successful Investment Management firm located in Boston, MA. This position will be responsible for assisting the firm’s senior administrative assistant support teams. The ideal candidate will have a minimum of 2 years of administrative experience, including heavy calendar management and travel coordination experience, preferably within the financial services industry.
This is a 12 month contract-to-hire position that will pay $27-33/hr (depending on experience) within a 40-hour workweek. This position is required to be onsite 3 days/week in their Boston office.
Responsibilities:

Manage and prioritize complex calendars proactively.

Coordinate domestic and international travel arrangements, including detailed itineraries.

Organize and facilitate logistics for meetings with multiple stakeholders.

Prepare detailed materials such as client reports, presentation decks, and meeting preparation packets.

Oversee daily administrative tasks, including mail handling, file organization, and expense reporting.

Support special projects, including coordinating events and welcoming visitors.

Build and maintain strong relationships with internal and external stakeholders.

Perform other duties as assigned.
Qualifications:

Bachelor’s degree required

Minimum of 2 years of experience in an administrative role within a professional services organization.

Background in the investment management industry is a plus.

Global exposure, whether through work or personal experience, is highly valued.

Advanced proficiency in MS Office and a willingness to adopt new technologies to improve efficiency.

Strong attention to detail, diligence, and commitment to producing high-quality work.
