Administrative Assistant – Investment Management – Boston, MA
We are seeking candidates for an Administrative Assistant position to join a highly successful Investment Management firm located in Boston, MA. This position will support attorneys, compliance officers, and risk officers within their Legal, Compliance, and Risk Team. The ideal candidate will have 1 year of administrative experience within professional services and a strong understanding of calendar management and travel coordination.
This is a 3-month contract position that will pay $25-30/hr (depending on experience) within a 40-hour work week. This position is required to be onsite 3 days per week in their Boston office.
Responsibilities:

Calendar Management: Organize and manage schedules for both internal and external meetings to ensure efficient use of time and resources.

Travel Coordination: Coordinate logistics for domestic and international travel, including itinerary planning and accommodation arrangements.

Expense Report Preparation: Prepare and submit expense reports, ensuring accuracy and compliance with company policies.

Document Management: Facilitate document signings and maintain electronic filing systems for efficient retrieval and organization.

Correspondence Production: Assist in the drafting and preparation of various documents, including legal agreements and other correspondence.

Cross-Coverage Support: Provide back-up support to other departmental assistants as needed, ensuring continuity of operations.

Mail and Correspondence Handling: Manage incoming and outgoing mail and correspondence efficiently and professionally.

Project Assistance: Support ad hoc projects and perform additional tasks as required to meet departmental needs.
Qualifications:

Bachelor’s degree is required.

1 year of administrative experience in investment management or professional services is preferred.

Experience in legal, enterprise risk, or the investment industry will be considered an asset.

Advanced proficiency in Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, Teams, SharePoint, and Lists.

Strong focus on detail and commitment to high-quality work.

Excellent interpersonal and communication skills.

High level of professionalism and discretion in all interactions.

Ability to work both independently and collaboratively within a team.

Strong organizational, multitasking, and prioritization skills.
