About The Company

Our client, a biotech industry leader who has been recognized consistently for the innovative nature of their work and the workplace they offer their employees, is looking for an Executive Assistant to join their team. This is a contract position through March, 2019 with the possibility of extension.

Job Description

  • Highly resourceful team player who can effectively work with staff and senior level managers, other senior level administrative assistants, internal/external. Ensure a smooth and efficient flow of day-to-day operations.
  • Complex meeting planning, including Senior Management /Executive  members assistants on logistics for teleconferences, videoconferences, web-based meetings :
  • Support to  Project Leaders when necessary for meetings with Senior Management
  • Assist in the structure of calendar agenda and follow-up of action items
  • Organization of travels (flights, expenses)
  • Pro-actively manages the calendar, schedules meetings, manages domestic and global meeting logistics and arranges domestic and international travel with both internal teams and external partners
  • Assist in preparation of reports and presentations when necessary
  • Ability to work independently and manage specialized projects as appropriate.
  • Manages multiple, sometimes conflicting, priorities in a fast-paced and demanding environment
  • Prioritizes and executes tasks with minimal direction or supervision. Compiles and prepares information for presentations using MS Office software.
  • Strong communication skills at the senior management level
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Highly resourceful team-player, with the ability to also be extremely effective independently

Requirements

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Ability to work with Word, Excel, PowerPoint & entire Microsoft Office Suite
  • Hospitality Experience
  • Customer Service Experience
  • Experience with Concur/ Travel scheduling
  • 6-9 years of Experience
  • Bachelor’s degree required
  • French Speaking would be helpful, but not mandatory
